RentPorter is an AI-powered SMS triage system that helps independent landlords manage tenant maintenance requests. By using RentPorter, you agree to the practices described in this policy.

What Information We Collect

Account Information

When you sign up for RentPorter, we collect:

  • Your name
  • Email address
  • Phone number
  • Property addresses you manage
  • Billing information (when you subscribe)

SMS and Maintenance Request Data

RentPorter processes SMS messages from your tenants to triage maintenance requests. We collect:

  • Tenant phone numbers
  • The complete text of SMS messages tenants send
  • Our AI-generated triage and categorization of each request
  • Timestamp and metadata for each message

Vendor Information

To help you dispatch maintenance requests, you may provide:

  • Vendor/contractor names and contact information
  • Vendor service areas and specialties

Usage Data

We automatically collect:

  • Your interactions with the RentPorter platform
  • Features you use and how frequently
  • Device and browser information
  • IP address and general location (country/region)

How We Use Your Information

We use the information we collect to:

  • Provide the service: Deliver SMS triage, analyze maintenance requests, and help you manage your properties
  • AI processing: Send SMS messages to Claude AI (Anthropic) to triage and categorize maintenance requests
  • Dispatch and communication: Help you reach vendors and resolve issues efficiently
  • Billing: Process payments and manage your subscription
  • Improvement: Understand how you use RentPorter and improve our features
  • Support: Respond to your questions and resolve issues
  • Legal compliance: Comply with applicable laws and regulations

AI Processing of Your Data

RentPorter uses Claude AI (provided by Anthropic) to analyze and triage your tenant maintenance requests. Here's what that means:

  • We send SMS message content to Anthropic's Claude AI service to extract information like maintenance type, urgency, and property affected
  • Claude AI does not use your data to train or improve its models (we use Anthropic's privacy tier)
  • Claude processes messages in real-time and returns only the extracted/categorized information
  • We do not send tenant personal information (names, addresses) to Claude; only the maintenance request content

SMS Messages and Twilio

RentPorter uses Twilio, a third-party SMS service, to receive and process text messages from your tenants:

  • Tenant phone numbers and message content are transmitted through Twilio's infrastructure
  • Twilio may retain message metadata (timestamps, message counts) in accordance with their privacy policy
  • By sending SMS messages to RentPorter, tenants are consenting to have their messages processed and stored
  • We recommend informing tenants of this SMS triage process and directing them to this privacy policy if they have questions

Who We Share Your Data With

We only share your information with:

  • Anthropic (Claude AI): To process and triage maintenance requests
  • Twilio: To send and receive SMS messages
  • Railway: Our hosting provider, which stores your data on secure servers
  • Stripe: To process subscription payments (when you upgrade from free beta)

We do not sell your data, and we do not share your information with third parties for marketing or advertising purposes. We require all service providers to maintain strict confidentiality and use your data only as necessary to provide services to you.

How Long We Keep Your Data

  • Account information: We retain your account details as long as your account is active. After you delete your account, we retain anonymized usage data for analytics but delete personal information within 30 days.
  • SMS messages and triage results: We retain message history and our AI categorizations for 2 years to help you track and resolve maintenance issues. You can request deletion of specific messages at any time.
  • Usage data: We retain anonymized analytics data indefinitely to improve the service.
  • Backups: Deleted data may persist in our backups for up to 90 days for recovery purposes.

Your Privacy Rights

Depending on your location, you may have the right to:

  • Access your data: Request a copy of all personal information we hold about you
  • Correct inaccuracies: Update or correct any incorrect information
  • Delete your data: Request deletion of your account and associated personal data (subject to legal retention requirements)
  • Opt out of communications: Unsubscribe from marketing emails (you will still receive transactional emails about your account)
  • Data portability: Export your data in a machine-readable format

Security

We take data security seriously. RentPorter uses:
